Full Job Description

Location: Munchen, Germany

Are you ready to play a crucial role in supporting our senior bankers within the Asset & Wealth Management team? You will be 100% relied upon to manage and take responsibility for your stakeholders diaries and everyday needs, effectively and proactively prioritizing to ensure the bankers we support are able to seamlessly serve the needs of our clients. You will work with minimal direction whilst utilising your strong attention to detail to navigate the needs of the group. You will work together in a great team of Executive Assistants and you will support the other EAs as well as provide coverage during absence / holidays.

As an Executive Assistant within Asset & Wealth Management team, you will predominantly perform diverse secretarial duties requiring confidentiality, a strong work ethic and common-sense approach. You will support requirements will vary from day-to-day dependent on the business covered and you should have a solid Personal Assistant background and skill set with a strong degree of flexibility given the demanding nature of this role.

Job responsibilities

  • Provide advanced, proactive diary management, facilitating swift setup of client meetings, become integral part of business and understanding group priorities and manager's expectations.
  • Manage complex, high-volume email communications, meetings, and conference calls, organizing all aspects of offsite conferences and external events, including catering and transportation.
  • Serve as a client-facing representative, handling interactions with clients and senior firm members.
  • Finalize complex travel arrangements, manage frequent travel changes, and prepare accurate itineraries.
  • Process expenses through the Concur expense system.
  • Perform general administrative duties, including room bookings, filing, photocopying, etc.
  • Collaborate with other assistants to provide coverage during absences.

 

Required qualifications, capabilities, and skills

  • Strong, executive communication style with the ability to work at senior management levels.
  • Polished, professional approach with a calm and composed manner in pressured environments.
  • Proactive in following up and staying ahead of arrangements and requirements.
  • High level of attention to detail, delivering high-quality results.
  • Strong technical capabilities with a focus on confidentiality.
  • Bilingual proficiency in English and German.

 

Preferred qualifications, capabilities, and skills

  •  Experience in Financial Services is preferred.
