Role Overview

We are seeking a highly organised and proactive Executive Assistant to provide high-level administrative and organisational support to the Chief Risk and Compliance Officer (CRCO). This role is critical to ensuring the smooth running of day-to-day activities, enabling the CRCO to focus on strategic priorities while navigating a dynamic and fast-paced environment.

The successful candidate will be a trusted partner, adept at managing complex schedules, coordinating across multiple stakeholders, and ensuring operational efficiency at the highest levels of the organisation.

The position requires the successful candidate to work from the office four days each week.

Role Responsibilities

Diary & Email Management

  • Manage complex calendars, coordinating meetings across multiple time zones.

  • Anticipate and proactively resolve scheduling conflicts, ensuring alignment with business priorities.

  • Monitor and manage the CRCOs inbox, prioritising emails and flagging urgent actions.

Meeting & Event Support

  • Prepare agendas, take accurate minutes, and ensure timely follow-up on action items.

  • Prepare and distribute high-quality information packs, presentations, and briefing notes.

  • Coordinate logistics for leadership meetings, offsites, board sessions, and internal events.

  • Provide technical support for meetings, including presentation setup and video/teleconferencing.

Travel & Logistics

  • Arrange complex domestic and international travel itineraries, including accommodation and transport.

  • Manage expenses, invoicing, and budget tracking related to CRCO activities.

Stakeholder Engagement

  • Act as a key liaison for visitors, senior leaders, and external stakeholders, ensuring a professional and welcoming experience.

  • Build and maintain strong working relationships at all levels, both internally and externally.

  • Handle enquiries with discretion and direct appropriately.

Operational & Team Support

  • Collate and organise documents for leadership and governance meetings.

  • Support the CRCO in leadership and team management responsibilities.

  • Provide general administrative and ad hoc support to the Risk & Compliance leadership team.

Experience / Competences

Essential

  • Proven track record as an Executive Assistant or Personal Assistant supporting C-Suite or senior executives in financial services, professional services, or a fast-paced corporate environment.

  • Extensive diary management experience, including complex scheduling across international time zones.

  • Demonstrated ability to prepare professional documentation such as reports, presentations, and board packs.

  • Proven background in stakeholder management, including direct interaction with senior executives and external partners.

  • Experience managing complex travel arrangements and handling budgets/expenses.

  • Ability to manage competing priorities and deliver under pressure.

  • Clear, confident, and professional in both written and verbal communication.

  • Absolute confidentiality and sound professional judgement when handling sensitive information.

  • Thrives in a fast-paced environment and flexible to changing demands.

  • Personable and professional, able to collaborate and influence across all levels.

  • Skilled in Microsoft Office (Word, Excel, PowerPoint, Outlook).

  • Consistently delivers accurate, polished outputs to a high standard.

Desired

  • Previous exposure to risk, compliance, or financial services functions.

  • Experience supporting governance activities (e.g. board or committee meetings).

  • Familiarity with enterprise tools or platforms such as Concur, Workday, or SharePoint.

  • Anticipates needs, takes ownership, and identifies opportunities to add value.

  • Resourceful and solution-oriented when faced with challenges.

  • Confident using tools such as Adobe Acrobat, Visio, and quick to adopt new systems.

  • Experience coordinating complex internal events or projects.
