As an Administrative Assistant supporting members of the UK Client Team within J.P. Morgan Asset Management (JPMAM), you will provide day-to-day administrative support to client-facing leaders and help the team stay organized, prepared, and responsive. You will be a key point of contact for inquiries, manage calendars and logistics, and ensure meetings, travel, and visitor experiences run smoothly. You will partner closely with another assistant and provide broader coverage support across the team when needed, while handling sensitive information with discretion.

Job responsibilities

  • Support diary management for multiple stakeholders, acting as a gatekeeper and primary point of contact for inquiries
  • Coordinate complex travel arrangements in line with current travel guidelines and policies
  • Organize internal and external meetings, including rooms, dial-ins, materials, agendas, and attendee coordination
  • Arrange logistics for external visitors, including scheduling, access requirements, and on-site support in London
  • Provide a welcoming, professional experience for client visitors when in London
  • Process expenses and invoices end-to-end, including reconciliation, submission, tracking, and follow-up
  • Monitor incoming requests, issues, and concerns; escalate risks and track actions to help ensure deadlines are met
  • Submit and track technology requests through internal systems to support day-to-day productivity
  • Support onboarding of new employees, including coordination of required set-up and introductions
  • Liaise with facilities teams to resolve office and workspace needs efficiently
  • Provide backup coverage for other assistants when needed to ensure continuity
  • Maintain high standards of confidentiality, discretion, and professionalism in all interactions

 

Required qualifications, capabilities, and skills

  • Interest in building a career in administrative/executive support (prior EA/AA experience welcome but not required)
  • Strong organizational skills with consistent attention to detail
  • Clear written and verbal communication skills with a service-oriented mindset
  • Strong relationship-building skills and a collaborative working style
  • Proactive approach with flexibility when priorities change at short notice
  • Ability to manage multiple priorities calmly in a fast-paced environment
  • High levels of confidentiality, discretion, and sound judgment
  • Proficiency in Microsoft Office (especially Outlook, Word, Excel, and PowerPoint) and/or willingness to upskill quickly
  • Experience using Concur for expense management and reconciliation, or willingness to learn

 

Preferred qualifications, capabilities, and skills

  • Exposure to calendar management, travel coordination, meeting logistics, or visitor support
  • Experience with end-to-end expense and invoice processing
  • Interest in supporting client-facing teams within asset management or financial services
  • Comfort supporting high-visibility meetings and visitor programs
