Role Description

  • The Executive Assistant is responsible for providing high-quality administrative support to senior leaders and ensuring the efficient day-to-day functioning of the office.
  • The role includes coordinating calendars, meetings and travel arrangements; producing, editing, proofreading and formatting documents, presentations and correspondence; maintaining accurate records and electronic filing systems; handling internal and external communications; and working closely with other administrative support staff to ensure seamless coordination and delivery.

Your key responsibilities

As a Personal Assistant to the CEO, you will:

  • Manage the CEOs calendar, appointments and daily schedule, including booking meeting rooms, arranging catering and A/V support, and coordinating all related logistics.
  • Prepare and coordinate meeting materials, including agendas, presentations, briefing packs and printouts, to support effective decision-making.
  • Maintain accurate records, reports and filing systems, ensuring documentation is organised, up to date and easily accessible.
  • Provide administrative support for visiting Management Board members and senior regional stakeholders, as required.
  • Liaise with internal and external stakeholders to ensure timely preparation of documents, effective tracking of actions and consistent follow-through on key deliverables.
  • Support expense management and internal approval processes in line with applicable policies and expense regulations.
  • Coordinate vendor registration processes, including TPRM and AITAS requirements, for the SPVs managed by the team.
  • Stay current on internal expense policies, communicate relevant updates to the team, and maintain email distribution lists, staff communications and internal broadcasts.

Your skills and experience

  • Relevant educational qualifications, preferably in administration, business support or a related discipline, with at least 15-20 years of experience in a comparable executive support role, ideally in an MNC within financial services, banking, consulting or professional services.
  • Demonstrated experience supporting senior executives, board members or other high-profile stakeholders.
  • Strong ability to prioritize and time management skills, with the ability to manage multiple tasks and competing deadlines effectively.
  • Advanced proficiency in Microsoft Office applications, including Outlook, PowerPoint, Word and Excel.
  • Ability to work independently, proactively and with flexibility in a fast-paced and highly confidential environment.
  • High level of integrity and discretion, with the ability to handle confidential and sensitive information appropriately.
  • Excellent written and verbal communication skills, with the ability to communicate clearly, concisely and professionally at all levels of the organization including ability and experience to interact with global stakeholders across geographies.
  • Strong stakeholder management skills, with the confidence and professionalism to engage effectively with senior internal and external stakeholders.
