Job Overview

Oliver Wyman is looking to hire an Executive Assistant based in our Kuala Lumpur office. This position involves providing comprehensive EA support to three Partners, including managing complex calendars, coordinating travel arrangements, and handling various administrative tasks including assisting with RFP-related administration.

Key Responsibilities

Calendar Management & Travel Arrangement

  • Maintain diaries for Partners, scheduling internal and external meetings, communicating with clients and infrastructure staff as appropriate
  • Proactively identify opportunities to add internal and external meetings, interviews, staff meetings, follow-up
  • Assist with scheduling complex project meetings as requested by the Partner and/or project team
  • Coordinate complex travel and accommodation, flights, cars, rail tickets, etc.
  • Develop understanding of Partner scheduling and travel preferences Coordinate travel efficiently by grouping client meetings where possible ("you're in Singapore to see XYZ Company, shall I try to set up a meeting with X Company because we haven't spoken to them for three months")

Business Development

  • Extensive administrative support for RFPs, including reviewing portals for possible opportunities, liaising with procurement teams, supporting the MOF certification process and attending tender briefings
  • Build relationships with clients and clients EAs
  • Understand the business goals and objectives of each Partner & proactively support, act as a strategic business partner to maximize client engagement and focus on client impact
  • CRM Management contact management and business activities updates
  • Proactively spot clients that havent been called upon and/or who need follow up, support the Partners to adhere to the business development goals
  • Prepare letters, proposals and other documents using Oliver Wyman formatting styles
  • Collaborate with Marketing colleagues for targeted campaigns including follow-up with key clients for business development meetings

Daily administration

  • Arrange visas, work permits, interviews, working with Human Capital team members
  • Manage documents and project deliverables when requested
  • Act as central point of contact for all assigned Principal/Partner administrative needs, liaise with other support departments as necessary
  • Prepare monthly timesheets for each assigned Principal/Partner
  • Prepare all expense reports in accordance with policy
  • Responsible for working with OW iProcurement team for PO creation and vendor/supplier payments

Team Support

  • Provide coverage for EAs who are out of the office to ensure seamless support to Principals/Partners
  • Be a strong team player, willing to share ideas, identify and drive process improvements. You should be open to developing a growth mindset, supporting your own and others professional development

Technical Skills

  • Prior experience as an Executive Assistant working in a fast-paced environment, able to demonstrate an ownership mentality and an excellent problem solver
  • Previous experience of RFP support would be a benefit
  • Fluency in English and Malay required, other languages would be beneficial
  • Proficiency working with Microsoft Office Suite, excellent CRM knowledge is advantage
  • Superior written and verbal communication skills responsive, intuitive and demonstrates a high level of emotional intelligence
  • Excellent judgement with ownership mentality
  • Empathetic, courteous, positive demeanor willing to ask for and offer help
