Role Summary

Manage front desk & reception, greeting visitors, answering main hotline, and handling incoming/outgoing mail and packages. Provide essential clerical and administrative support to ensure smooth day-to-day business operations. Duties include All employees are expected to understand and comply with any Sarbanes Oxley operational requirements relevant to their role.

Overall Responsibilities

  • Welcome clients and visitors at reception, determine their needs and direct them to the appropriate staff members
  • Answer and direct incoming phone calls, take accurate messages, and respond to general email inquiries.
  • Sort and distribute incoming mail, prepare outgoing courier, and assist with clerical tasks.
  • Coordinate meeting calendars, schedule appointments, and manage booking logistics.
  • Monitor office levels, order restocks and maintain inventory for pantry food & beverage supplies, stationery, and corporate merchandise.
  • Ensure the workplace is well-maintained with basic upkeep, minor repairs, and ensuring a safe, tidy workspace.
  • Coordinate ordering and delivery of group purchases for client gifts (e.g. mooncakes, Christmas hampers).
  • Provide general clerical and administrative assistance to staff and management.
  • Assist with logistics for internal staff events and external client events.
  • Monitor and record visitor entries to maintain accurate Compliance records.
  • Issue, track, and maintain staff access cards, coordinating replacements when needed.
  • Source and liaise with vendors to meet office needs efficiently.

  • Adhere to the operational risk framework for your role ensuring that all regulatory or company determined parameters are complied with.
