Join us in our Tokyo office as an Executive Assistant supporting the Client Solutions Group within Macquarie Asset Management.

This is a fixed term contract role for 6 months.

What role will you play?

Working in a fast-paced and close-knit team environment, you will support executives and members of the team on extensive inbox and diary management, arrangement of internal and external meetings and overseeing video calls, which includes managing the waiting room, agenda, participants, and presentations when required. In addition, you will manage domestic and international travel arrangements which include tasks such as accommodation, visas, client entertainment and expense claims.

In addition, you will regularly interact with clients and their assistants to coordinate conference calls with international offices and across different time zones and have the opportunity to support logistical coordination and execution of a variety of corporate access activities, both virtually and physically, including but not limited to roadshows, conference calls, bespoke events, group tours and conferences, etc.

  • 3+ years relevant experience within the professional services industry
  • Ability to provide seamless executive and team support in a fast-paced environment
  • Ability to adopt a proactive approach and understand the nature of the business and priorities within the team
  • Strong organisational, planning and multi-tasking skills with the ability to effectively manage conflicting priorities
  • Excellent interpersonal, verbal and written communication skills.
