Youll bring strong judgment, attention to detail, and a proactive mindset to anticipate needs and remove roadblocks. As a Legal Specialist for Litigation in the Litigation team, you provide operational and coordination support to approximately 60 attorneys across HR Law, Litigation, and Government Investigations and Regulatory Enforcement (GIRE). You will partner closely with legal teams to streamline workflows, support regulatory and litigation-related activities, and manage key business processes. This role combines administrative support with opportunities to contribute to reporting, coordination, and process improvements, enabling efficient execution in a fast-paced, globally connected environment.
- Support day-to-day operations for legal teams, coordinating activities, priorities, and deliverables across multiple stakeholdersCoordinate scheduling and meeting logistics across global teams, ensuring alignment and efficiencyCreate, manage, and enhance Excel-based trackers, reports, and coordination tools to support business insightsOrganize and support internal and external meetings and events, including logistics and materials preparationArrange and coordinate travel logistics while ensuring compliance with firm policies and budget guidelinesManage expense tracking and invoice processing, ensuring accuracy and timely completionSupport onboarding and offboarding activities, including system access and equipment coordinationSupport legal, regulatory, and operational projects by tracking progress and maintaining documentationPrepare and refine materials (presentations, reports, trackers) for business useIdentify opportunities to streamline processes and improve team workflowsProactively communicate risks, issues, or delays to support efficient executionRequired Qualifications, Capabilities, and Skills
- Experience (including prior to a career break) in business management, executive assistant, legal analysis/operations or a related field.Experience coordinating complex schedules and workflows across multiple stakeholders and time zones.Strong analytical and research skills, with the ability to interpret complex information.Excellent written and verbal communication skills, with the ability to present information clearly and concisely.Detail-oriented with strong organizational and project management skills.A proactive self-starter with the ability to work independently, problem-solve and manage competing priorities.Positive, common-sense attitude with a strong desire to learn and collaborate with team members in person and across remote locations.Flexibility and adaptability to change, including technological, with the ability to pivot quickly.Proficiency in Excel and Microsoft Office tools, with the ability to build and maintain trackers and reportsStrong coordination and organizational skills with the ability to manage multiple priorities simultaneouslyPreferred Qualifications, Capabilities, and Skills
- College degree preferred, but not required.Experience in the financial services industry or a highly regulated environment.Familiarity with litigation processes and procedures.Experience with data analysis and reporting tools.Interest in and dexterity with AI tools.Experience building or maintaining reporting tools or dashboards (Excel or similar tools).Exposure to legal operations, litigation support, or regulatory environments.
