DUTIES AND RESPONSIBILITIES
Reception
Welcoming all guests (visitors and staff), handling client requests ;
Taking and forwarding (internal and external) telephone calls in French and/or English; handling messages ;
Managing incoming and outgoing correspondence (mail, express mail and courier);
Receiving and dispatching deliveries ;
Performing ad hoc administrative duties such as badges management,
announcement of guest arrivals... ;
Allocation, managing of calendar invites and up keeping of meetings rooms ;
Organizing meetings/coordinating appointments and meetings ;
Office services and management
Providers follow-up and stock management (office supplies, consumable) ;
Maintaining and tidying the reception area and kitchen area ;
Keeping the premises organized ;
Additional support
Dealing with various others tasks as they arise (copy, print, scan, fax, binding, archives) ;
Assisting colleagues with administrative tasks (i.e. handling correspondence in French, and/or English ;
Making travel arrangements ;
Assisting the Marketing & Business Development team in organizing events and conferences organization ;
Supporting the preparation of various events/closings (catering, parking spaces management, etc.) ;
Providing support to the PAs when needed.
YOUR PROFILE
Solid administrative background with several years of relevant professional experience ;
Excellent communication skills with fluency in English and French; German and Luxembourgish are considered an advantage ;
Proficient in Microsoft Office applications, including Outlook, Word, Excel and PowerPoint ;
Highly organised with the ability to manage multiple priorities efficiently;
Positive, service-oriented approach and strong team spirit ;
Professional, discreet and trustworthy when handling confidential and sensitive information ;
Proactive, adaptable and eager to learn, with a strong can-do attitude.
