The Opportunity

Job Summary

The People Team Assistant will assist and support the needs of the People department. Major responsibilities include general HR and benefits administration, onboarding and offboarding procedures, invoice and expense coordination, and special projects. This is an entry-level position and a fantastic opportunity for someone looking to build a meaningful career in human resources. The ideal candidate must be professional, detail orientated, maintain a high level of confidentiality, and have exceptional interpersonal and communication skills.

Essential Duties and Responsibilities

Onboarding, Offboarding & Orientation

  • Coordinate and facilitate the end-to-end onboarding process for new hires, including, welcome packs, and first-day schedules
  • Assist with new hire orientation, serving as a primary point of contact for new employees during their pre-boarding and onboarding period
  • Liaise with IT, Facilities, and relevant department heads to ensure new employees have the tools, access, and resources they need from day one
  • Manage and coordinate offboarding procedures, including scheduling exit interviews and processing all relevant documentation
  • Collect, verify, and process new hire documentation in compliance with applicable employment laws and company policy

HR & Benefits Administration

  • Provide general HR and benefits administration support across the department, including processing data changes in Workday
  • Assist with Open Enrollment processes, including employee communication, enrollment tracking, and coordination with benefits providers
  • Assist with the planning and execution of employee engagement initiatives
  • Complete employment verifications accurately and in a timely manner
  • Audit HR, benefits, and payroll documents to ensure accuracy, completeness, and regulatory compliance
  • Maintain and update personnel files, ensuring records are current and properly organized
  • Assist with the employee evaluation process, including scheduling, tracking completion, and filing documentation
  • Align and work closely with global people operations team to provide around the sun support.

Invoicing & Expense Coordination

  • Manage monthly HR and benefits invoicing, including processing, tracking, and reconciling invoices from vendors and providers
  • Coordinate purchase of employee gifts and recognition items, managing related expenses and records

Communications & Special Projects

  • Draft HR communications including announcements, policy updates, and employee-facing correspondence
  • Provide general administrative support to the HR team, including calendar management, meeting coordination, and filing
  • Support HR special projects and initiatives as directed by senior team members
  • Assist with job postings and candidate coordination as needed during recruitment

Education & Experience

Education

  • Bachelor's degree required, preferably in Human Resources, Business Administration, or a related field

Experience

  • 02 years of experience in an HR or administrative role (internship experience welcome)
  • Familiarity with an HRIS platform (e.g., Workday, BambooHR, ADP) preferred
  • Knowledge of basic employment law and HR best practices a plus

Compensation:

  • Exact compensation may vary based on skills and experience and the salary range is $65,000 - $75,000.
