GigNow Operations Associate (GigNow Operations) | Job Description (EY)

Reporting to: Senior Associate / Supervising Associate, GigNow Operations

Role purpose
The GigNow Operations Associate executes day-to-day onboarding and contractor lifecycle administration to deliver a responsive, compliant, and high-quality experience for contractors and stakeholders. This role owns transactional processing, tracker hygiene, and coordination across systems (GigNow, BRIDGE/RM Archer, myHR, CXC, OneService) while escalating complex risk or policy exceptions to senior team members.

Key responsibilities 
Onboarding administration
   Upload contractor CV and onboarding forms to profiles
   Create requisitions in GigNow and match contractor profile to requisition
   Submit BRIDGE requests (or Archer as applicable) and update trackers same day
   Request background checks and follow up identity verification for agency-sourced resources
   Coordinate laptop/PC-on-demand and send onboarding + laptop details
   Clean up/close requisitions when needed
Extensions & terminations
   Review end-date notifications (myHR) and confirm access status
   Create extension requisitions and submit BRIDGE extensions
   Maintain extension/termination tracker with accurate, timely status updates
   Coordinate and monitor laptop returns; confirm receipt and closure
Risk & independence support
   Complete weekly CXC attestations and maintain evidence trail
   Flag missing compliance documents and incomplete requirements promptly
   Escalate exceptions (e.g., ex EY, high risk, missing documents) to Senior/Supervising Associate


Agency administration
   Submit agency BRIDGE through RM Archer
   Track renewal dates; assist Senior/s in following up agencies on updated questionnaires and documents
   Managing documentation / records for agencies on SharePoint
   Ensuring contact details of agencies are updated

Mailbox management & triage
   Monitor the shared mailbox; flag any emails that havent been responded to for more than 1-2 days.  
   Chase missing information and assist with follow-ups on emails relating to extensions, BRIDGEs, and terminations

Stakeholder communication
   Provide clear status updates to hiring managers, approvers, agencies and contractors
   Proactively chase missing information for standard cases to keep work moving
Reporting support
   Support activity/hourly reporting by validating raw extracts and preparing contractor lists
   Input assigned counts into summary tables and flag data issues before publish
Continuous improvement support
   Maintain templates and onboarding artifacts; suggest quick wins and document SOP updates when requested
Qualifications & experience
   Bachelors degree or equivalent experience (Operations, HR, Business, or related)
   13 years in operations/coordination, HR shared services, staffing, or contingent workforce administration
   Strong Excel skills (filters, pivots/lookups preferred) and disciplined tracker hygiene
   Comfortable working across multiple systems (GigNow, myHR, BRIDGE/RM Archer, CXC, OneService)
   Strong written and verbal communication; responsive, customer-focused, calm under pressure
Core competencies

   Customer focus: manages expectations, communicates clearly, delivers timely updates
