Full Job Description

Our Office Operations team is at the heart of ensuring the smooth and efficient functioning of the Firms day-to-day operations. Our team manages the infrastructure, systems and services both globally and locallyrelating to our office workplaces, onsite and remote operational services, security, safety and a range of other areas. We provide PA support and manage document production, translation and travel services. Our team is responsible for our client-facing areas across the Firm, always seeking to ensure that clients and other visitors have an experience that is world-class. We also take the lead in running our day-to-day operations in the most environmentally sustainable way possible.

Duties and Accountabilities

  • Welcome visitors, clients, contractors and delivery personnel in a professional and courteous manner.
  • Verify visitor identity, confirm appointments and notify the relevant internal contact or the Main Reception on the 8th floor of each arrival.
  • Work closely with the Main Reception team to coordinate visitor arrivals, meeting arrangements and guest access.
  • Maintain accurate visitor records in accordance with internal procedures.
  • Issue, collect and monitor visitor passes or access badges where applicable.
  • Ensure that visitors are not granted access beyond authorized areas without appropriate approval or escort.
  • Monitor the reception area and report any unusual activity, security concern or unauthorized access attempt promptly to the Main Reception, Office Management or building security.
  • Manage incoming deliveries, couriers and postal items in line with office procedures.
  • Answer and direct telephone calls, emails and general reception enquiries as required.
  • Maintain a tidy, professional and secure reception area at all times.
  • Provide general administrative support to the reception and office services teams when needed.
  • Follow all applicable health and safety, emergency evacuation, confidentiality, data protection and security policies.
