The HR team has been undertaking an exciting period of transition where the need for greater strategic HR steer in relation to the Firm's 'People Agenda' has been identified by key senior stakeholders. The team continues to strive for excellence in delivering HR solutions that are both pragmatic and efficient, while focusing on forward thinking and evolving with the changing needs of the business.

HR provides support to all Legal and Business Services departments, with a direct link into the partnership through the Chief People Officer, who reports into the Managing Partner. As the Firm grows its business and looks to ensure a competitive advantage, the partnership has made the conscious decision to draw on the knowledge and expertise of a professional HR function that will provide commercial and practical advice to help engage, develop, recruit and retain the best talent.

There is a shared importance placed on developing and progressing as a team as well as enhancing individual skillsets across the team that align to aspiration and potential.

The Role

This is an exciting opportunity for a HR professional who is passionate about HR systems and data and who also enjoys providing HR generalist administrative support.

This role will be varied, with the opportunity to learn about the firm's HR systems and will involve coordinating multiple system-related projects, overseeing system administration tasks, delivering scheduled reporting and will be a key contact for responding to HR data requests.

The role will report into the firm's HR Systems and MI Specialist.

Key Responsibilities

The details below provide some examples of the type of work this role will involve, but is not intended to be exhaustive:

  • HR System administration
    • Overseeing HR system user access, including doing regular audits of access
    • Assisting with processing employee data changes in the system
    • Creating new job titles and work patterns in the system, as required
    • Supporting configuration changes in the system, such as email notification updates (e.g. recipients, content, etc)
    • Supporting system data audits
  • Annual Performance Reviews
    • Helping to setup the firm's systems to prepare for annual performance reviews for both partners and employees
    • Scheduling and sending reminder emails to reviewees and 360 recipients
    • Generating performance review status reports and engaging with stakeholders from around the firm, where necessary
  • Benefits
    • Coordinating monthly benefit file imports into the HR system and overseeing regular audits of benefits data
    • Supporting the Benefits and Reward team with the launch of our annual enrolment of our benefits scheme
  • Practising Certificates Processes
    • Coordinating the firm's regulatory annual practising certificate renewal process for our SRA admitted Lawyers
    • Coordinating the firm's regulatory annual practising certificate renewal process for our Law Society of Scotland admitted Lawyers
    • Supporting foreign qualified lawyers with the process to renew their practising certificates
  • HR Systems projects
    • Support the potential roll-out of the following system upgrades/projects:
      • HR system upgrade, incorporating AI and analytics
      • New integrated recruitment system, incorporating onboarding
      • Payroll system improvements
      • Learning Management system upgrade
    • Data / Reporting
      • Leading in the production of firmwide and departmental D&I reports (using Pirical)
      • Responding to HR data/reporting requests
      • Supporting with the production of scheduled HR data reports
      • Periodically importing and exporting data into, and from the HR system
    • SharePoint intranet site ('The Hub')
      • Becoming a 'Hub Ambassador' by helping maintain and update the HR section of the firm's intranet site
    • iManage / eFiles
      • General administration and maintenance of employee records in the firm's document management system (iManage)
    • Queries/Adhoc Support
      • Responding to general HR queries from partners/employees raised through ServiceNow and via email
      • Providing generalist HR support to the team, as required
      • Support the new roll-out of the firm's engagement survey
      • Ad hoc project work when required

Skills and Experience

  • Strong academics and ideally a degree or equivalent
  • Has a minimum of 12 months experience, working in a fast-paced office environment (ideally in a law firm or another professional services firm)
  • Advanced PC skills in Microsoft Office products (Outlook, Word and PowerPoint), with an emphasis on Excel including formulae, VLookups, filtering, graphs and pivot tables
  • HR system/s experience and ideally experience of configuring and administering HR systems (SelectHR, Performance Leader would be advantageous)
  • Experience of working with a reporting tool such as Crystal reports, PowerBI or SQL Server Reporting Services is desirable but not essential
  • Highly effective organisation skills, with an excellent level of accuracy and attention to detail
  • Have a "can do", proactive approach
  • Can articulate self well to a range of stakeholders
  • Excellent interpersonal skills both in interacting with a team and in delivering HR support to internal clients
  • Able to work calmly and efficient under pressure, whilst being able to prioritise own workload
  • Able to demonstrate flexibility and dependability, as well as the ability to use initiative
  • Committed, enthusiastic and innovative
