You will help manage complex calendars, travel, expenses, and key communications, using sound judgment and discretion. You will partner closely with stakeholders across the firm to coordinate logistics, meetings, and business priorities. Job responsibilities
Manage complex executive calendars, prioritizing meetings, calls, and stakeholder needs with strong judgmentCoordinate senior internal and external meetings, conference calls, and leadership events (including offsites, town halls, and skip-level sessions)Plan end-to-end travel, including logistics, itineraries, contingency options, and cost-aware routing within policyPartner with relevant teams to arrange local logistics and on-site coordination for visits and eventsHandle internal and external client interactions with professionalism, discretion, and timely follow-throughProcess travel and expense items accurately and on time, supporting policy compliance and complete documentationLiaise with business management and cross-functional partners to align schedules, deliverables, and approvalsPrepare reports and routine tracking, and maintain accurate data entry in internal systemsAnticipate changes in priorities and proactively adjust plans to keep leaders and stakeholders alignedProvide coverage for other assistants as needed, building strong working relationships across teamsSupport additional projects and training opportunities based on business needs and performanceRequired qualifications, capabilities, and skills
Advanced years of experience supporting senior executives as an executive assistant or business assistant within the financial services industryAdvanced years of experience managing complex calendars for senior leaders, including conflicting priorities and time-sensitive changesAdvanced of experience coordinating business travel, including detailed itineraries, logistics, and contingency planningAdvanced years of experience processing travel and expense activities with strong attention to detail and policy adherenceDemonstrated ability to handle confidential information with discretion and consistent professionalismExcellent written and verbal communication skills, with a polished executive presenceStrong organizational and time management skills, including the ability to meet deadlines in a fast-paced settingProven ability to work with limited direction, make sound decisions, and follow through with ownershipStrong stakeholder management skills, including the ability to partner effectively across levels and functionsProficiency with Microsoft Office applications, including document, spreadsheet, and presentation toolsPreferred qualifications, capabilities, and skills
