Role purpose

Provide high-quality executive and administrative support to the Head of Business Risk & Resilience (BRR), Asia & Middle East (Managing Director band). The role enables effective delivery across BRRs first line of defence risk and control disciplines: Chief Control Office (CCO), Operational Resilience, Protective Security, Third-Party Risk Management, and Business Continuity & Incident Management

Reporting line

Reports to: Head of BRR, Asia & Middle East

Location Hong Kong

Principal responsibilities

  • Provide end-to-end executive support to the Head of BRR, including complex diary management, meeting coordination and prioritisation across time zones.
  • Coordinate, liaise and complete administrative tasks and returns with a high level of accuracy, ensuring completion within deadlines.
  • Support the Head of BRR in helping senior and line management meet business objectives; enable operational efficiency and effective service delivery.
  • Organise and support key governance forums (agenda planning, paper collation, action tracking, and minutes where required), aligned to risk and control priorities.
  • Coordinate engagement with senior stakeholders across Business and Infrastructure teams; handle internal relationships with discretion and sound judgement.
  • Provide IT administration (access requests, distribution lists, equipment/logistics coordination) and maintain team records.
  • Maintain awareness of relevant policies and procedures, Group standards and guidelines, and demonstrate strong control-minded behaviours.
  • Support expense management and contribute to maximising returns of expenses.
  • Provide administrative support, as required, to the Head of BRRs direct reports to ensure joined-up delivery across the leadership team.

Requirements

  • Previous administrative/secretarial experience, ideally within financial services.
  • Strong interpersonal skills; excellent teamwork and communication skills.
  • Excellent written and oral communication skills; confident engaging with senior stakeholders.
  • Keen awareness of risk and operational controls; able to work with sensitive information appropriately.
  • Clear ability to delicately handle internal relationships.
  • Able to work under pressure, manage competing priorities and meet deadlines.
  • High integrity and professionalism.

The chosen candidate will be required to undergo enhanced vetting, subject to local laws, as part of the recruitment process and on an ongoing basis if appointed.
