Supplier & Replenishment Coordinator

A well-established wine wholesaler is looking for a Supplier & Replenishment Coordinator to join its Operations team. This is a pivotal role supporting Sales, Brand and Operations teams to ensure the smooth supply, availability and control of wine stocks held in the UK.

Reporting directly to the Head of Operations, you will play a key role in demand planning, replenishment, supplier coordination and stock integrity across the business.

 

The Role

Demand Planning, Item Analysis & Data Management

  • Create and maintain item codes and product data within the ERP system (Navision), ensuring accuracy across stock reports, pricing, vintages, ABV, and online/offline availability
  • Maintain pricing categories and support promotional capabilities
  • Monitor daily run rates versus live sales to identify replenishment needs and prevent out-of-stocks, particularly on core lines
  • Analyse sales trends using finance and supplier reports to predict demand and avoid distortion from one-off sales
  • Monitor supplier lead times by region and producer, adjusting for external factors such as logistics disruption or regulatory changes

     

Replenishment & Stock Management

  • Lead weekly replenishment meetings with senior stakeholders to review stock performance and approve Purchase Orders
  • Raise and manage Purchase Orders, ensuring accuracy across:
    • PO type 
    • Warehouse destination, ETAs and delivery dates
    • Incoterms, payment terms and shipping costs
  • Work closely with Operations on shipping plans, ETAs and resolving logistical issues
  • Share stock insights with Sales teams, including upcoming risks or shortages

     

Relationships & Controls

  • Maintain strong working relationships with Operations, Brand Managers, Sales, Finance and Accounts Payable
  • Manage end-of-month processes, including closing POs
  • Oversee stock control activities including blocking/unblocking SKUs, managing overstocks and clearance categories
  • Maintain accurate supplier cost pricing and customer pricing in the ERP system
  • Support invoice reconciliation, pre-payment schedules, credit limits and cash availability checks
  • Maintain Organic certification records, including OF&G submissions and annual audits
  • Identify and manage faulty or obsolete stock, working with Operations on quality control and destruction processes

     

Additional Responsibilities

  • Support stock planning for tastings and events, ensuring availability of samples and sale stock
  • Gather feedback from Sales on listings, lost business and forecasted large orders

About You

Skills & Experience

  • Proven experience in demand planning and replenishment
  • Previous experience working with ERP systems (Navision preferred)
  • Background in logistics, supply chain or stock management (wine or FMCG advantageous)
  • Strong analytical skills with excellent attention to detail
  • Comfortable working to strict routines while managing a varied workload
  • Intermediate Excel skills
