The Role

This role is a blended position with coordinator responsibilities, supporting multiple members of the M&E Fidelity Shared Services team and managing planning and execution of events. This position will also support the execution of operational tasks for the Meetings & Events team in the logistics and execution of all programs both in-person and virtual.

Key responsibilities include:

Create and manage event registration sites in Cvent

Manage registration sites and provide updates to planning teams/program managers

Communicate with planners and key business partners on event logistics, registration status, scheduling, attendance and attendee feedback

Plan for and execute the creation and printing of name badges, agendas, attendee lists, biographies, and all other meeting materials requiring production (tent cards, dinner cards, etc.)

Research premium items, negotiate pricing and ship to events as necessary

Invoice management - process invoices and follow up on status of payments

Research and source venues, premiums, speakers and ad hoc requests

On-site support for events as needed

Ensure that feedback from all events is collected, analyzed, and reported to business leads

The Expertise and Skills You Bring

The successful candidate must have the ability to take initiative and work independently, as well as be able to take directions. Candidates must be very organized and able to balance multiple projects simultaneously under stringent time constraints, with professionalism and composure. The incumbent must be a true teammate, willing to assume new responsibilities as they may arise, and flexible to work some overtime when required. The ideal candidate for this role is driven, organized, experienced, and ready to improve their network and skills!

Bachelors degree or equivalent experience

1-3 years experience in event coordination and/or event support.

Strong attention to detail.

Strong communication and collaboration skills.

Cvent Event Management/Database software experience a must.

Ability to multi-task and coordinate between different departments.

Analytical skills and knowledge of data management for events

Fully proficient in Microsoft Excel, Word, and PowerPoint

eReview management and assistance

Collaborate with business units to determine reporting and dashboard requirements in Cvent.

Ability to travel 20% if required

Position may involve both nights and weekends

The Team

The dynamic Meetings and Events team collaborate with business partners on the planning, budgeting, and design of all internal and client events. The team manages over 1000 events a year with a focus on creating seamless and memorable experiences that support business and firm-wide objectives.

Fidelitys Onsite Working Model
Fidelity is transitioning to a full-time onsite working model through a phased rollout across regions and roles. Currently, some roles and locations require 100% onsite presence, while others require less. Onsite expectations are likely to evolve as the rollout continues. This transition does not apply to fully remote roles.

The base salary range for this position is $60,000-115,000 USD per year.

Placement in the range will vary based on job responsibilities and scope, geographic location, candidates relevant experience, and other factors.

Base salary is only part of the total compensation package. Depending on the position and eligibility requirements, the offer package may also include bonus or other variable compensation.
