Project Management Office

PMO - Manager

 

Role brief: Work directly with EY leadership to deliver consistent high-quality support across various operational activities and strategic projects. The role requires application of project management and data analytics skills. Attention to detail, ownership of the entire process, coordination with geographically dispersed stakeholders and a driving personality is crucial to success in this role.

 

Mandatory skills and attributes:

  • Excellent communication skills
  • Project Management building knowledge of concepts and tools
  • Effective time management and prioritization

 

Desired:

  • Solution oriented, problem solving
  • Self-motivated towards continuous learning and upskilling
  • 4-8 years PM/Operations or related experience

Responsibilities:

Project management

  • Manage and define onboarding/transition of new scope, solution designing operating model and resources in collaboration with Business leads
  • Collaborate with other department leaders to drive and track project performance
  • Project planning and management, including setting deadlines, prioritizing tasks, and assigning team members to various deliverables.
  • Act as the first point of contact with the client and SMEs, as required
  • Drive IDT transformation initiatives like Tax Smart Delivery, North Star, EY Way, as and when applicable

 

Governance

  • Evaluate projects to ensure they meet company standards, adhering to targets, and deadlines.
  • Facilitate governance calls with stakeholders with tracking on agenda, MoM, actions
  • Recording feedback on quality, ensuring deployment of quality framework for compliance
  • Track project related signoffs and maintain repository in agreed format

 

Resource optimization

  • Conduct onboarding session for new joiners
  • New hire trainings schedule finalization
  • FTE assessment, raising hiring requests (new or backfill)
  • Communication of holidays to stakeholders and backup planning
  • Enable goal setting exercise with Talent and business leads Resource scheduling forecast through MERA, monitor for the team and report

 

Best practices and effective communication

  • Drive and model best practices across Re-imagined teaming models and related transformation initiatives
  • Creation of knowledge portal use case scenario
  • Participating in internal initiatives and/or business development activities, as and when required
  • Scheduled internal strategic communications to create the right visibility with on-time updates

 

Financial activities

  • Scope and fee tracking, budget hours finalization (financial model)
  • Time charging & utilization monitoring for the team
  • Staffing mix/Ratio evaluation quarterly
  • Country Plan vs. budget vs. actual hours tracking
  • Track invoicing schedule
  • Effectively use metrics to track progress, identify issues, make decisions and improvements

 

Reporting

  • Performance reporting (KPIs/SLA) to stakeholders as per agreed frequency
  • Team utilization and forecast report coordination with EMT
  • Achievements/success stories scope of work, certifications, badges, process improvement, etc.
  • Transformation Strategic communications, progress reports, reporting initiatives

 

Team building

  • Training and onboarding
  • Process knowledge documentation
  • Derive and implement team goals and objectives
  • Effective work allocation and progress review
  • Effective and on-time feedback for performance
