Job description
The role
As Practice Support Coordinator for our Notarial practice, you'll bring specialist knowledge to a role that sits close to the heart of every transaction preparing and reviewing notarial documentation, managing regulatory filings and compliance processes, and coordinating matters from instruction to completion. Notarial work carries its own requirements under Dutch law, including how files are handled, and you'll be the dedicated expert who keeps it all running smoothly and fully compliant.
You'll give our civil-law notaries (notarissen) and candidate civil-law notaries (kandidaat-notarissen) the freedom to focus on advising clients, while you take ownership of the documentation, filings and processes that keep transactions moving. It's a role with real independence, direct client contact, and genuine ownership of your work.
What you'll do
Specialist notarial & transaction support
- Independently prepare, review and amend notarial documentation deeds of incorporation, amendments to articles of association, share transfers and issuances, pledge deeds, mortgage deeds, real estate transfer documentation, and aircraft- and vessel-related deeds.
- Draft corporate resolutions, powers of attorney, authority statements and first drafts relating to share issuances, pledges and transfers.
- Manage post-closing administration, from registration steps to transaction bibles and complete digital records.
Filings, legalisations & compliance
- Coordinate registrations and filings with the Chamber of Commerce (Kamer van Koophandel), the Land Registry (Kadaster) and other relevant authorities.
- Arrange apostilles and legalisations through courts, embassies and competent authorities.
- Verify director identities and corporate authorities, and prepare the supporting authority documentation.
- Handle notarial files within the access permissions applicable to the Notary Department, escalating any uncertainty promptly.
Knowledge, client & practice support
- Build and maintain databases of precedents, powers of attorney and standard notarial wording, safeguarding consistency, efficiency and knowledge across the practice.
- Act as a responsive, professional point of contact for clients and external authorities.
- Deliver high-quality document management correspondence, proofreading, PDF collation, comparison, filing and archiving alongside matter opening, billing support and diary coordination.
What you'll bring
- Experience in a legal, notarial or comparable professional-services environment, ideally in a legal secretarial, executive support or practice support role.
- Practical knowledge of Dutch notarial processes and documentation or the ability and genuine commitment to develop it quickly.
- Fluency in Dutch and English, written and spoken.
- Strong drafting, proofreading and document-production skills, with an exceptional eye for detail.
- Confident use of AI tools, Microsoft Word, Outlook, PowerPoint and Excel, and the ability to learn firm-specific systems.
- Sharp organisation, prioritisation and problem-solving skills across multiple deadlines.
- A proactive, discreet and service-oriented approach, with the judgement and confidence to work directly with clients and senior stakeholders independently and as part of a team.
