Job Overview

The Senior Executive Assistant provides support to the Chief Administrative Officer, Enterprise Services & Public Affairs (ESPA). The Chief Administrative Office is a nimble team that covers a broad scope of responsibilities in a dynamic and fast-moving environment. The team works with a wide range of internal partners, including senior leadership, and coordinates closely with other members of ESPA as well as stakeholder teams around the world. The CAO Team is responsible for ensuring strong end-to-end operations related to Controls, Data, Finance, HR, Technology, and other operations. ESPA CAO also manages Citis Discounts to the Arts Program and ESPAs Corporate Philanthropy.

This is a high energy, hardworking and affable team that values colleagues who anticipate what needs to get done and act accordingly, are quick thinkers and can problem solve matters that arise unexpectedly, are intellectually curious, and who have high professional standards and deliver a thoughtful work product. The ideal candidate should be highly organized and detail-oriented, a quick learner and able to anticipate needs. Must be able to manage complex calendars, handle correspondence, arrange meetings and video/conference calls, coordinate travel and execute other administrative tasks.

Key Responsibilities

  • Proactively manage calendar(s), ensuring they are accurate, comprehensive, and include all required materials, background, and talking points.
  • Coordinate all aspects of appointments, meetings, receptions, events, and video/conference calls with accuracy and attention to detail.
  • Manage travel arrangements and expense reports through Citis Travel and Expense (CTE) system.
  • Maintain office supply inventory, including ordering and organization, and process invoices through the P2P invoicing system.
  • Track and maintain team vacation and remote-work schedules.
  • Lead coordination of monthly and quarterly CAO team meeting agendas and related operations.
  • Coordinate components of Corporate Philanthropy events, including invitation management and liaison with charitable organizations.
  • Assist with fulfillment of the Discount to the Arts offering.
  • Support the ESPA Talent Development Program and colleague engagement events and activities.
  • Provide project management support for the broader team and assist with special projects, as needed.


Qualifications:

  • 5+ years experience; previous office administration experience preferable
  • Works well in a team environment and collaborates with other executive management offices
  • Highly proficient in Microsoft Office, Word, Excel, Power Point, Outlook
  • Senior-level executive admin experience
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Self-motivated and detail-oriented
  • Positive attitude and strong work ethic
