Role purpose

The Legal Operations Analyst role on the Global Capabilities Center Legal team will act as an extension of the United States Legal Operations team, providing support for a number of operational and administrative activities that do not require direct on-site interaction. The role involves supporting the COO Legal function through the effective execution of legal operational processes, ensuring accurate documentation, timely reporting, and proper coordination with internal and external stakeholders.

Responsibilities

The scope of activities includes the following:

  • Outside Counsel (Law Firm) and Vendor Management.
  • Assist with the onboarding and offboarding of law firms, including updating relevant systems of record to reflect accurate status.
  • Support day-to-day Legal Operations activities, ensuring adherence to established procedures and service standards.
  • Assist with required Third Party Risk activities and associated due dilligence, including collection of documents and updating systems of record, ensuring data accuracy and proper recordkeeping.
  • Analyze information and prepare, update, and publish operational and management reports for Legal and related stakeholders.
  • Triage routine emails and inquiries from both internal stakeholders and outside counsel, ensuring clear communication and follow-up.
  • Perform daily/weekly controls to ensure proper outside counsel governance.
  • Generate and distribute periodic reports related to outside counsel engagement.
  • Perform daily/weekly monitoring of values in critical fields within matter management system to ensure completeness and accuracy.
  • Perform continuous monitoring of active matters/invoices to support proper financial management.
  • Proactively communicate and partner with internal stakeholders to address anomolies are identified through monitoring.
  • Monitor assigned processes and escalate issues, exceptions or risks to the Legal Operations team in a timely and structured manner for support as appropriate.

Qualifications

  • Operational or Compliance background.
  • Advanced English proficiency, with the ability to work 100% with U.S. based teams in written and verbal communications.
  • Strong command of Microsoft office, particularly Excel and PowerPoint for data analysis, tracking reporting and presentations.
  • Strong organizational and analytical skills, with attention to detail and accuracy.
  • Comfortable working in a fast-paced, multicultural, and process-driven environment.
  • Clear, professional communication and collaborative mindset.
  • Demonstrates ability to learn, adapt, and unlearn in response to changes in the legal, regulatory, and external environment.
  • Embraces new technologies, digitilization, applying knowledge to add value for improving processes.
  • Creative and practical problem-solving skills, leveraging a sense of curiosity when completing daily activities.
