William Blair is seeking a Roadshow Coordinator to join our Fund Placement team in London.

The Fund Placement Roadshow Coordinator partners with the Fund Placement team to help plan, coordinate and execute logistics related to roadshows for Fund Placements.  Through strong organizational skills, ensures roadshows are coordinated in a professional, efficient matter and are in line with expectations, as well as firm policies & procedures. Provides other administrative support to the Fund Placement team and its clients, relieving team members of administrative responsibilities in order to enable greater productivity. 

Responsibilities include but may not be limited to:

Roadshow Coordinator Responsibilities:

  • Execute a wide range of events which are aligned with business objectives, firm-wide policies & procedures and communication strategies.
  • Manage the process, planning and execution of assigned roadshows.
  • Manage event timelines and project plans and prepare event collateral including detailed schedules/profiles/pre-meeting insights.
  • Partner with clients and internal teams on researching and selecting venues, as well as other roadshow logistics including conference call arrangements and any audio-visual for presentations and functions.
  • Adhere to event budgets and end-to-end finance process.
  • Distribute marketing collateral and conduct the request/allocation process.
  • Manage expense reconciliations associated with roadshow costs.
  • Process invoices and conduct post-event evaluation and analysis.
  • Develop an understanding of industry trends and best practices in roadshow coordination.
  • Additional responsibilities as requested.

General Support Responsibilities

  • Travel & Expenses – Arranges complex travel itineraries and submits expense reports in a timely manner.
  • Calendar & Meeting Coordination – Proactively manages calendars by anticipating needs, adjusting for conflicts, and ensuring all logistics (including materials, location, timing, etc.).
  • Employs effective reasoning skills.
  • Information and Data – Updates and maintains contact databases. Demonstrates the ability to utilize software applications for maximum effect and efficiency.
