Full Job Description
Location: Sydney, New South Wales, Australia
Were growing and are seeking a talented Legal Secretary (Legal PA) to join our Sydney Projects team on a full-time basis.
As a valued member of our Sydney office, you will provide high-level legal secretarial support to Partners Mark Waddell and Louise Santos, along with their team of lawyers, enabling them to deliver exceptional service to our clients.
Youll also be part of a supportive and collaborative community of Legal PAs across the firm, with opportunities to contribute to initiatives that promote wellbeing, diversity and inclusion, and social connection.
Key Responsibilities:
- Proactively manage inboxes, diaries, and travel arrangements
- Oversee matter administration, compliance checks, and engagement letter processes
- Build strong client relationships and support events and business development activities
- Manage billing workflows, ensuring timely and accurate invoicing
- Prepare correspondence and presentations, and coordinate document production
- Mentor colleagues and contribute to broader administrative support across the practice
This is a permanent, full-time role working Monday to Friday, 9:00 am - 5:30 pm, with the option to work from home one day per week.
Skills & Experience
Were looking for an experienced Legal Secretary who is eager to join an international firm that truly values its people.
To succeed in this role, you will bring:
- 3-10 years experience as a secretary within a professional services environment (legal experience highly desirable)
- Proven experience supporting at least one Partner and a team of lawyers
- End-to-end billing experience (Aderant Expert experience highly regarded)
- Strong Microsoft Office skills
- Experience supporting business development initiatives including client onboarding
- Exceptional organisational skills with strong attention to detail
- A proactive approach and the ability to work both independently and collaboratively
