The Warsaw office is seeking a highly organized and proactive Practice Support Executive to play a key role in supporting our legal professionals. This position provides comprehensive administrative, secretarial and billing support, contributing to the smooth and effective operation of our legal teams. The role encompasses document and client administration as well as coordination of billing processes, helping to ensure accuracy, timeliness and the delivery of excellent client service in a collaborative, international environment.

Job Responsibilities
* Provide comprehensive administrative support to lawyers, including diary management, travel arrangements, expense claims, and meeting coordination.
* Assist with the preparation and formatting of legal documents, presentations, and correspondence, ensuring accuracy and adherence to firm standards.
* Manage and organize physical and electronic client files, ensuring proper indexing, archiving, and retrieval.
* Facilitate communication between legal professionals, clients, and external parties, handling inquiries and directing calls as appropriate.
* Coordinate internal and external meetings, including booking rooms, arranging catering, and preparing materials.
* Process invoices, manage billing cycles, and assist with financial administration tasks as required.
* Support business development initiatives, including preparing marketing materials and assisting with event logistics.
* Undertake ad-hoc administrative tasks and projects as assigned by legal professionals or management.
* Adhere to all company policies, procedures, and ethical guidelines, particularly regarding client confidentiality.

Job Qualifications
* Proven experience in an administrative support role, preferably within a legal or professional services environment.
* Excellent organizational and time management skills with the ability to prioritize multiple tasks effectively.
* Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Exceptional written and verbal communication skills in English and Polish.
* High attention to detail and accuracy in all work performed.
* Proactive and resourceful with the ability to work independently and as part of a team.
* Discretion and ability to handle confidential information with integrity.
* Strong interpersonal skills with a client-focused approach.
* Ability to adapt to changing priorities and work effectively under pressure.
