This role is focused on event planning and operational executionincluding logistics, timelines, vendor management, and onsite deliveryrather than marketing, communications, or PR.
As a Senior Events Associate in Private Bank EMEA Events team you will own defined workstreams and lead smaller-to-mid-sized events end-to-end, while also serving as a key execution partner on larger regional and global programs. You will be a visible, calm, and polished presence onsite, with strong production instincts, high standards, and the ability to anticipate needs before they arise. Evening/after-hours work and periodic travel across EMEA are required.
Job responsibilities
- Plan and deliver client events aligned to business priorities, brand standards, and internal processes.
- Own end-to-end logistics: timelines, venue management, travel, materials, and onsite execution.
- Support speaker management: scheduling, briefings, run-throughs, presentation collection, and onsite support.
- Lead production and AV coordination (audio, visual, staging, presentations), including pre-event testing and contingency planning.
- Provide onsite ballroom management: room builds, floorplans, rehearsals, show flow, and vendor coordination.
- Create and maintain run of shows and event briefing documents.
- Manage registration and guest services: invite lists, RSVPs, seating plans, badges, check-in, and guest support.
- Track budgets and manage operational administration: POs, contracts, invoices, and vendor onboarding in line with risk requirements.
- Deliver clear updates to stakeholders and produce post-event reporting (attendance, feedback, costs, lessons learned).
- Contribute to process improvements, templates, and team delivery across the regional calendar.
Required qualifications, capabilities, and skills
- Corporate events experience, ideally within a fast-paced, high-touch environment.
- Highly organized with excellent attention to detail; able to manage multiple events and deadlines concurrently.
- Proactive and seasoned; comfortable partnering with senior stakeholders, clients, and vendors.
- Strong written and verbal communication; confident offering recommendations and solutions when needed
- Proficiency in Microsoft Excel, Word, PowerPoint, and Outlook;
- Calm under pressure, adaptable, and a collaborative team player.
- Additional languages a plus (Spanish, French, Italian, or German).
- Willingness to work extended hours and travel across EMEA as required.
