A successful Administrative Assistant possesses structure, attention to detail, quality focus, high energy and flexibility to a high-paced deadline driven organization. In this role you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt procedures, processes and techniques to complete assignments in line with the department's activities and goals.

Job Responsibilities

  • Provide administrative support to the Executive Administrative Assistant and the broader team
  • Assist in maintaining calendars and scheduling meetings
  • Help coordinate logistics for internal and external meetings when asked
  • Support the arrangement of domestic and international travel for the team
  • Assist with organizing team events, including catering and transportation
  • Help process invoices and expense claims, ensuring compliance with guidelines
  • Assist with onboarding and offboarding tasks, such as requesting equipment setup and system access
  • Maintain and update department documents, files, supplies and other organizational tasks
  • Perform general office duties and respond to routine requests from team members

Required Qualifications, Capabilities, and Skills

  • 23 years of administrative or office support experience
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and prioritize effectively
  • Discretion and good judgment in handling confidential information
  • Strong interpersonal, written, and verbal communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Willingness to learn and take direction from senior team members

Preferred Qualifications, Capabilities, and Skills

  • Experience supporting a team or senior-level staff is an asset
  • College diploma or degree is a plus
