The Difference You Make

The Senior Executive Assistant provides high caliber administrative support to two C-level executives, allocating roughly equal time and attention to each. This role manages complex schedules, coordinates sensitive communications, and anticipates the needs of highly visible leaders. It also offers light-touch support for visiting C-suite executives in the New York office, ensuring a seamless onsite experience.

The Senior Executive Assistant exercises judgment, discretion, and initiative at all times. Responsibilities include preparing and releasing executive correspondence, managing competing priorities across multiple executives, compiling departmental information, and serving as a trusted liaison with internal and external senior stakeholders.

Primary Responsibilities

• Manage sophisticated calendars for two C-level executives, including scheduling appointments, meetings, conferences, and offsite engagements across time zones.
• Coordinate meeting logistics, materials, and presentations for executive leadership sessions, quarterly meetings, and offsite retreats.
• Provide light-touch support to visiting C-level leaders, including arranging lunch orders, securing meeting space, and serving as a welcoming onsite contact.
• Screen and prioritize incoming calls, emails, and messages; respond to routine inquiries and route communications appropriately.
• Arrange domestic and international travel itineraries, prepare travel documentation, process expense reports, and reconcile corporate card transactions promptly.
• Record and transcribe minutes for senior leadership meetings and subcommittees, including tracking and driving follow-up actions.
• Support the executives in preparing briefing materials, coordinating follow-ups, and maintaining visibility across key initiatives.
• Provide general administrative support to senior team members as needed, ensuring smooth operations across a fast-paced environment.
• Handle confidential information with discretion and maintain high professional standards in all interactions.

What You Bring

To perform this role successfully, an individual must be able to manage complex executive needs with precision, sound judgment, and an exceptionally high level of professionalism.


• Five or more years of executive assistant experience supporting senior-level leadership in a corporate environment.
• Exceptional interpersonal and communication skills, both written and verbal.
• Ability to operate with tact, diplomacy, and confidence when interacting with internal and external senior stakeholders.
• Proven capability to manage multiple priorities, meet tight deadlines, and operate independently with minimal guidance.
• Strong organizational, planning, and time management skills with a focus on accuracy and follow-through.
• High proficiency in Microsoft Office, including advanced skills in Outlook calendar management, Excel, Word, and PowerPoint.
• Demonstrated ability to manage sensitive information with discretion and maintain strict confidentiality.
• Professional maturity, judgment, and the ability to anticipate executive needs proactively.
• Strong problem-solving skills and a positive, adaptable approach to shifting priorities.
• Proven ability to apply independent judgment when addressing routine inquiries or unexpected changes.
• Self-starter with a high sense of ownership, reliability, and initiative.

It Would Be Nice For You To Have

• Bachelor’s degree in Business Administration or a related field, or equivalent work experience.

• Experience supporting multiple senior executives simultaneously.
• A demonstrated history of success in fast-paced, high-expectation environments.
• Familiarity with enterprise systems, collaboration tools, and corporate travel platforms.

What Else You Need To Know:

The base pay range for this position is posted below and represents the annualized salary range. For hourly positions (non-exempt), the annual range is based on a 40-hour work week. The exact compensation may vary based on skills, experience, training, licensure and certifications and location.

Base Pay Range:

Minimum:

$76,875.00 USD

Maximum:

$130,000.00 USD
