Reception & SAT Zurich (BSISA)

Country: Switzerland

The General Services Reception & Executive Support (SAT) is responsible for managing front desk operations and ensuring the smooth functioning of office logistics in a Private Banking environment in Zurich.

In addition, the role provides high-level administrative and executive support to Market Heads and acts as back-up to the Executive Committe SAT, ensuring seamless coordination of agendas, travel, corporate documentation, and internal governance processes.

This position requires strong organizational skills, discretion, flexibility, and the ability to operate in a multicultural and highly regulated banking environment.

DUTIES AND RENSOPONSIBILITIES

1. Reception & Office Management

 Reception & Administrative Support

  • Welcome clients and visitors, ensuring a premium private banking experience.

  • Manage meeting room bookings and coordinate refreshments and catering.

  • Handle incoming and outgoing mail, courier services, and express shipments.

  • Oversee office supplies and ensure proper stock replenishment.

  • Coordinate hotel, apartment, and transportation bookings for employees and visiting executives.

  • Support logistics for internal meetings, client events, and corporate functions.

Facilities & General Services

  • Ensure functionality, organization, and professional appearance of the office premises.

  • Coordinate the facility with building management and external providers

Security & Compliance

  • Manage visitor access and badge control.

  • Support alarm procedures and security protocols.

  • Ensure adherence to internal policies and regulatory requirements.

2. Executive Support (SAT)

  • Coordinate and manage complex agendas for Market Heads, including internal meetings, client meetings, and external visits.

  • Organize and oversee executive travel arrangements (flights, accommodation, transfers, visas if required).

  • Prepare and reconcile expense reports using corporate tools.

  • Support the preparation meetings and documentation when required.

  • Assist in the planning and execution of client and corporate events.

  • Act as liaison between Market Heads and internal stakeholders, ensuring smooth communication flow.

  • Provide full coverage during absences of the Executive Committe SAT ensuring continuity in agenda management, executive correspondence, and confidential documentation handling.

  • Maintain high standards of discretion and confidentiality in all executive matters.

SKILLS & KNOWLEDGE

  • Secondary school diploma or Degree in Executive Administration, Business Support, or related field.

  • 35 years of experience in a similar role (Reception, Executive Assistant, or General Services), ideally within Private Banking or financial institutions in Switzerland.

  • Residence in Switzerland required.

  • Fluent in English, and Spanish (C1 minimum).  French and German are highly valued. Portuguese and/or Arabic are a plus.

  • Advanced knowledge of Microsoft Office (Excel, PowerPoint, Outlook).

  • Experience with corporate expense and travel management tools.

  • Strong organizational and multitasking skills.

  • High level of discretion and confidentiality.

  • Client-oriented mindset with strong interpersonal skills.

  • Ability to work under pressure and manage priorities.

  • Proactive, flexible, and solution oriented.

  • Understanding of risk management and regulatory awareness in a banking environment.

  • Ability to work in a multicultural and dynamic setting.
