This role offers a fantastic opportunity to work in one of the world's most innovative banks. As an Executive Assistant, you will play a pivotal role in supporting senior leaders and ensuring seamless client service.

As an Executive Assistant in our team, you will manage complex schedules, facilitate effective communication, and support business priorities. You will be part of a collaborative environment where your flexibility, advanced assistant skills, and a high degree of confidentiality will help drive success. You will manage stakeholders diaries and everyday needs, prioritizing effectively to ensure seamless client service. You will handle multiple responsibilities, people, and timeframes, adeptly navigating systems, policies, and procedures.

Job Responsibilities

  • Manage daily activities: advanced, complex diary management, high-volume email management, and professional telephone communication.
  • Client engagement: handle internal and external client interactions, organize meetings and events, and collaborate with marketing teams in Europe.
  • Set up meetings, conference calls, and video conferences.
  • Finalize complex travel arrangements, including flights, VISAs, accommodations, and logistics, managing frequent changes and preparing itineraries.
  • Process expense reimbursements, utilize internal systems, and prepare necessary documents for client meetings.
  • Become an integral part of the business, understanding group priorities and expectations.
  • Assist with staff onboarding and offboarding, equipment setup, and lead ad hoc projects.
  • Organize internal events, partnering with marketing teams and assistants globally.
  • Create and manage Excel sheets, Word files, shared drives and PowerPoint presentations.


Required Qualifications, Capabilities, and Skills

  • Minimum of five years of assistant experience, supporting mid-level Executives or above.
  • Advanced organizational skills, ability to meet deadlines, and demonstrate proactivity and ownership.
  • Assertive, with the ability to make decisions independently.
  • Tact and good judgment in confidential situations, with proven experience interacting with senior management.
  • Analytical thinker who can understand new tasks with ease.
  • Ability to handles multiple tasks simultaneously and prioritize as needed.
  • Forward-looking and highly structured - anticipates upcoming needs and proactively prepares materials, agendas, and logistics to ensure smooth execution. 
  • Fluent in English. Strong interpersonal, written, and oral communication skills.
  • Proficiency in Microsoft Office.

     

  • Excellent telephone etiquette.

     

  • Polished, professional approach, calm demeanour, and ability to work under pressure.


Preferred Qualifications, Capabilities, and Skills

  • Strong Excel skills preferred; able to build and maintain structured trackers and planning tools to support meeting preparation and business priorities
  • Good knowledge of Dutch preferred.
