As an Executive and Team Assistant in the Asset Management team, you provide comprehensive support to the CEO and the broader Sales team. You excel in a fast-paced environment, demonstrate sound judgment in prioritizing tasks, and know when to escalate issues. You work closely with colleagues, fostering a collaborative and positive team culture.
Job Responsibilities
- Maintain complex and detailed diaries for multiple stakeholders across various time zones, ensuring seamless coordination for senior leaders and team members
- Liaise with internal and external stakeholders to organize meetings, events, and logistics, ensuring all arrangements are efficient and client-focused
- Produce high-quality emails and messages for individuals at all levels of the organization, exercising discretion in sharing information
- Arrange and coordinate domestic and international travel for the team, adhering to travel and expense policies
- Process invoices and expense claims in a timely manner, ensuring compliance with guidelines and acting as a subject matter expert for policies and procedures
- Work cooperatively with other assistants and team members, fostering a positive and collaborative environment
- Support regular activities independently and proactively communicate any issues or delays
- Lead and coordinate ad hoc projects and team events as requested, ensuring successful execution and attention to detail
- Demonstrate strong judgment in managing competing priorities, knowing when to escalate urgent matters and how to effectively prioritise tasks
Required Qualifications, Capabilities, and Skills
- Diploma in Business Administration, Secretarial Studies, or equivalent qualification
- Minimum 5 years’ experience as an Executive Assistant or Team Assistant supporting senior leaders
- Advanced proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
- Demonstrated ability to manage complex diaries and coordinate meetings across time zones
- Proven experience arranging domestic and international travel and processing expense claims
- Strong organizational skills with the ability to manage multiple responsibilities and prioritize effectively
- Excellent written and verbal communication skills
- High level of discretion and judgment, especially when handling confidential information
- Ability to work collaboratively in a team environment
- Reliable, motivated, and flexible approach to work

- Experience supporting senior leaders in financial services or asset management
