As an Executive and Team Assistant in the Asset Management team, you provide comprehensive support to the CEO and the broader Sales team. You excel in a fast-paced environment, demonstrate sound judgment in prioritizing tasks, and know when to escalate issues. You work closely with colleagues, fostering a collaborative and positive team culture.

Job Responsibilities

  • Maintain complex and detailed diaries for multiple stakeholders across various time zones, ensuring seamless coordination for senior leaders and team members
  • Liaise with internal and external stakeholders to organize meetings, events, and logistics, ensuring all arrangements are efficient and client-focused
  • Produce high-quality emails and messages for individuals at all levels of the organization, exercising discretion in sharing information
  • Arrange and coordinate domestic and international travel for the team, adhering to travel and expense policies
  • Process invoices and expense claims in a timely manner, ensuring compliance with guidelines and acting as a subject matter expert for policies and procedures
  • Work cooperatively with other assistants and team members, fostering a positive and collaborative environment
  • Support regular activities independently and proactively communicate any issues or delays
  • Lead and coordinate ad hoc projects and team events as requested, ensuring successful execution and attention to detail
  • Demonstrate strong judgment in managing competing priorities, knowing when to escalate urgent matters and how to effectively prioritise tasks

Required Qualifications, Capabilities, and Skills

  • Diploma in Business Administration, Secretarial Studies, or equivalent qualification
  • Minimum 5 years’ experience as an Executive Assistant or Team Assistant supporting senior leaders
  • Advanced proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
  • Demonstrated ability to manage complex diaries and coordinate meetings across time zones
  • Proven experience arranging domestic and international travel and processing expense claims
  • Strong organizational skills with the ability to manage multiple responsibilities and prioritize effectively
  • Excellent written and verbal communication skills
  • High level of discretion and judgment, especially when handling confidential information
  • Ability to work collaboratively in a team environment
  • Reliable, motivated, and flexible approach to work

  • Experience supporting senior leaders in financial services or asset management
  • Track record of leading successful team events or ad hoc projects
