Title: Executive Assistant

Department: IB M&A

Reports to: Grace Russo

Location: New York

Job Summary

We are seeking a highly organized detail oriented Executive Assistant to provide support within our Investment Banking division. Looking for a proactive, resourceful candidate.  Being able to manage multiple priorities in a fast-paced environment.  This role is essential in ensuring seamless day-to-day expenses and travel for Investment Bankers.

Primary Responsibilities
JOB DESCRIPTION

  • Supporting Investment bankers from senior to junior level.
  • Manage complex calendars, prioritize meeting requests, and coordinate internal/external appointments across multiple time zones.
  • Arrange heavy domestic and international travel logistics, including flights hotels, and ground transportation.
  • Process expense reports using Concur.
  • Maintain and update executives CRM system with client information and meeting notes.
  • Hours are 9 am- 5 pm 

Required Background/Skills:

  • Minimum of 5 years of administrative experience, supporting professionals in Investment Banking or Financial Services.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).  Experience using Concur and CRM platforms is preferred.
  • Demonstrates a high level of integrity and professionalism.
  • Strong written and verbal skills.
  • Highly organized, with attention to detail and a proactive approach to problem-solving.

Salary Range $85,000-$120,000
