The Administrative Assistant role entails providing support to senior leadership and their team. The responsibilities include:

  • Managing calendars including scheduling internal and external appointments, confirming meetings, coordinating with other assistants

  • Managing global travel planning, scheduling and itineraries

  • Updating and maintaining travel spreadsheet and organizing trip packets for travel

  • Overseeing and planning weekly and monthly meetings

  • Liaising with other organizations for scheduling and projects

  • Answering calls and acting as a gatekeeper

  • Acting as back-up support for other senior professionals

  • Booking conference rooms for internal and external meetings; meeting and greeting guests, registering guests in the visitor system

  • Completing detailed corporate expenses including tracking receipts and reimbursements

  • Coordinating travel arrangements, including flights, visas/passports, cars, hotels, and other reservations

  • Maintaining and organizing files

  • Working on ad hoc projects

Qualifications:

Blackstone seeks to hire individuals who work well in a team-driven working group, are highly motivated, intelligent, have sound judgment and have demonstrated excellence in prior endeavors. 

The successful candidate should have:

  • 1+ years of administrative assistant experience supporting a team of two or more

  • Experience working within Financial Services is preferred

  • Thrives in a dynamic work environment

  • Strong communication skills

  • Highly organized with strong attention to detail

  • Ability to multi-task and prioritize competing tasks and deadlines

  • Ability to be proactive and work well within a team and with other assistants

  • Ability to work with various levels of management

  • Perform duties with the highest level of confidentiality and have a strong sense integrity

  • Experience with coordinating travel arrangements

  • An autonomous work style with strong follow-through skills

  • Ability to build relationships with key players and management

  • Strong Microsoft Office skills (including PowerPoint, emphasis on Outlook and Excel)

  • Familiarity with Concur is preferred

  • Experience with Amex Travel a plus

Expected annual base salary range:

$70,000 - $130,000

Actual base salary within that range will be determined by several components including but not limited to the individual's experience, skills, qualifications and job location. Additional compensation: Base salary does not include other forms of compensation or benefits offered in connection with the advertised role.
