Full Job Description

Our Office Operations team is seeking an Office and Facilities Coordinator to support our growing New York office. In this role, you’ll partner closely with our Facilities and Administrative teams to deliver an exceptional employee experience—maintaining a clean, efficient, and welcoming environment. You’ll have the opportunity to contribute to multiple areas of office operations, including facilities maintenance, reception, event support, and security. If you thrive on variety and enjoy working in a fast-paced, collaborative environment, this role is for you.

Hours: 7:30 a.m. – 4:30 p.m., variable as required to support operations

What you’ll do:

Facilities & Office Operations

  • Maintain a clean, safe, and well-functioning NYC office through daily walkthroughs, timely issue resolution, and scheduled safety checks
  • Coordinate with property management, vendors, and contractors to ensure high-quality service and smooth daily operations
  • Build strong relationships across teams to support a best-in-class employee experience and maintain clear facilities documentation
  • Support reception by greeting visitors, managing access, and providing front-desk coverage as needed
  • Oversee access control and security processes, including badge management and coordination with building security
  • Manage office food and beverage programs, including vendor logistics and inventory tracking
  • Assist with meetings and events, handling setup, teardown, vendor coordination, and onsite support
  • Support employee gifting by managing merchandise inventory and packaging
  • Handle all incoming and outgoing shipments with accurate tracking and communication
  • Assist with financial processes such as credit card, lease, and purchase requisition reconciliations
  • Maintain Jira tickets, documentation, and reporting to support continuous improvement
  • Provide flexible, ad-hoc support across Office Operations and work independently in a fast-paced, high-pressure environment

  • Ability to quickly learn and use new technology
  • Ability to stand, lift up to 50 lbs., stoop, bend, reach above your head, climb a step stool
